MAIN REPONSIBILITIES / DUTIES External Medical Affairs Admin Assistant (EMA AA) - is responsible for providing administrative support to ensure the efficient and effective operation of the External Medical Affairs Team to meet function objectives. In additional, EMA AA is assigned to manage and coordinate External Medical Meetings for Medical Department.
For those the duties include:
General Administrative Support
Timeline and meeting assistance, expense management, and travel support etc.
Assisting internal/external meeting, including agenda, meeting room booking, take meeting minutes, logistic.
Prepare documents and reports for meetings and events
Provide administrative support to team members on expense report collecting, travel support for team as appropriate
New comer on-board logistic support
Assisting External Medical Affairs leader, with preparation of presentations, monthly report submission, schedule management, and develop relevant documents.
General management for EMA key documents such as application documents, training binders quality check etc.
Assist team leader on team culture development
Act as a coordinator of team general activities such as team building, website maintenance etc
External Medical Meetings Management
Manages Medical external meetings through collaborating with relevant internal partners. This includes Advisory Board meetings, speaker programs and congress support as appropriate for the local medical practice.
Ensures compliance processes and global policies are followed at the local level
